Some Add-On Modules

Besides the already very comprehensive standard functionality of Microsoft Dynamics™ NAV the following two add-on modules are of special interest in our installations:

  • Microsoft Dynamics™ NAV – Add-On Module CRM
  • Microsoft Dynamics™ NAV – Add-On-Module Service

The Add-On-Module “CRM” extends the NAV functionality by some of the classic CRM (Customer Relationship Management) data and functions, like contacts, segments and campaigns. Alternatively to the integration, if more functionality is needed, NAV can interface as well with the function-rich bigger CRM-product of Dynamics™-Family, the “Microsoft Dynamics™ CRM”. When getting into CRM with NAV, organizations should evaluate both solutions and compare their functionality in contrast of the organization todays and tomorrows expectations in the growth strategy in order to select the appropriate solution for your needs.

iFD offers workshops to present, analyze, estimate customizing efforts needed and, based on this data, to propose the appropriate CRM type for the organizations goal.

The add-on-module “service” extends the functionality of NAV by certain functions needed in the service departments, like service contracts and service planning.

It is important to know that the Microsoft Dynamics CRM solution also contains a rich set of functions regarding service management. As mentioned in case of CRM, the same applies for the service management, to evaluate the functionalities of both solution prior to integration.

Also for service management, iFD offers workshops to present, analyze, estimate customizing efforts needed and, based on this data, to propose the appropriate CRM type to meet all your organizations goals.

Technology and components

Microsoft Dynamics™ NAV consists in the actual versions mainly of the components:

  • Microsoft SQL Server™ or integrated database
  • Navision Server
  • Navision Desktop Client

A powerful and straightforward constellation, especially when driving Microsoft Dynamics™ NAV in combination with the Microsoft SQL Server™.

Navision – Modern Usage

Since NAV 2009, Microsoft has moved from the so-called “Classic Client” to the new role-based client. As before, the role-based client is installed on the user’s local computer. The role-based client allows the connection to the NAVISION server system(s) based on the users role and its privileges. Functions are presented, following Microsoft standard, in menus on top and on the left hand side (standard), allowing quick and easy navigation between the different tasks.

Because the program is structured much like other Microsoft products, users will quickly recognize that the navigation is similar. This makes the effort of getting used to the front end significantly reduced. When starting the client, the main menu and function taskbars are shown on the top of the screen, as on the left hand side the navigation menu, subdivided into main areas as shown. At starting time, in the working area, normally the dashboard is on your screen, containing summarized important actual data that is displayed to improve the business overview of the specific user in his role.

A convenient function is the ability to enter part of the requested function into the quick search field, and then the system offers all the functions starting with that name for direct execution, instead of having to maneuver through different menus to reach that function. Time saving and quick.

Besides that, user also have the ability to define their frequently used functions as favorites, storing the links in an individual area of the left hand side menu for fast access.

Another very useful feature is the presentation of data in lists, shown on the screen like customers, articles and so on. Users have the ability to show and hide data columns based on their needs, they can also change the order of columns are displayed to customize their views. Last but not least, users can also filter the lists on their demands by using filter settings based on the fields displayed.

By using the sorting feature, these lists can then be sorted on your screen.

Finding data

By using the filter and sorting functionality in screen lists, another valuable feature, also previously known from the classic client, can be used. The function is the on-screen editing of fields in lists, reducing the time needed to open each record, search for the field and change it, prior to saving it. By using this function, mass changes of data are much quicker, just filter and sort the screen list accordingly to the specific needs, make sure the data fields needed are in the list and change to “edit list”. Now just change the data of the first line and use the repeat key to copy the change over to the next line. This function really can save a lot of value time, when having to change some fields for a number of records.

As an example, just imagine having to reassign all products from one category A to category B. By filtering all articles with the criteria Category=A and changing to “edit list”, one would have to change the data value in field “category” of the first record just from A to B, going afterwards down the list and press the “repeat” function key F8, so that the change is also copied to the record the cursor is currently in.

This is just one example of how Microsoft Dynamics NAV is saving valuable work time for you and your organization in every day’s work.

Processing and presenting data

Flexibility always had been an important criterion for a solution. It is often useful and desired to easily get data from the ERP system, sorted and / or filtered, and to process to these in other systems in the organization to, for example, create individual lists, reports or presentations, as coding each individual data export request in the ERP system as a function is often not economically practical.

For this demand, the Navision Client offers the function “Actions -> Send to”. By using this function, the above-mentioned article list for example, could be transferred easily and right away to Microsoft Excel™. The resulting list is a normal spreadsheet file, editable. Columns, formulas and the full rich set of functionality of Excel can be used, including adding graphics and charts, based on the transmitted data, making it easy to also embed these to on-the-fly created charts for presentations or for documents made with Microsoft PowerPoint™ or Microsoft Word™.

The function “Action -> Send to” is a standard function of the Microsoft Dynamics™ NAV role-based client and is available in mostly all data list based functions.

Finally, do not forget that Microsoft Outlook™ is the email solution, which also can interface with NAV intensively to allow sending documents and data directly in form of emails directly from the ERP System.

Customizing

The solution Microsoft Dynamics™ NAV can be customized to extend it to the individual needs and goals of an organization. New data structures, fields, lists, reports and functions and business logic can be easily implemented.
